Synergy Workforce removes the need for time-consuming paper requests and records when dealing with employee absences, planned or otherwise.
Employees are able to submit absence requests online, being passed directly to their manager, who is notified via email, and can then choose to either approve or reject the request.
This provides convenience, greatly reduces the time wasted during this interaction between employee and manager, whilst also tracking and recording all interactions within the Synergy Workforce system.
If the absence was unplanned (sickness, dependency or other), the manager is still able to insert/amend it directly into the system.
All of this absence tracking data can be viewed and monitored in order to identify trends with your employees.
System allows creating various absences within the system
Add Absence
Click on the icon to add absence and fill in the respective parameters as required
1. Code - Unique code of the absence
2. Description - Provide description
3. Active - Switch ON/OFF
4. Contract - Select Contract from drop down list if applicable
5. Pay Category - Select pay category (depending on calculation) from drop down list if applicable
6. Allow Booking Absence on Day OFF - Switch ON/OFF as per requirement
If switched ON - Managers/Employees can book/request absence on Day OFF
7. Allow Booking Absence on Statutory Holiday - Switch ON/OFF as per requirement
If switched ON - Managers/Employees can book/request absence on Statutory Holidays
8. Block Absence if Balance <= 0 - Switch ON/OFF as per requirement
If switched ON - Managers/Employees cannot book/request absence if balance goes to 0 or in negative
9. Compensation Method - Select the relevant item
Select between Expected Hours (Based on Shift), Fixed Hours or by Custom HH:MM
10. Include in Actual Worked Hrs - Switch ON/OFF as per requirement
11. Skip Authorisation - Switch ON/OFF as per requirement
Applicable to Absence Management system where employee is requesting absence. Skip Authorisation can be used for items like Sick whereby authorisation by manager is not required. In this case it automatically books the employee on Sick when requested for the day
12. Include to Bradford factor calculation - Switch ON/OFF as per requirement
13. Export Codes - Optional
14. Short Name - Give Short name, will be visible in Graphical Scheduler
15. Colour - Select default colour for the item
Duplicate Absence
Click on icon against the absence to duplicate so that it copies most of the parameters allowing user to make minimal changes as required
Edit Absence
Click on edit icon against the absence to edit parameters
Delete Absence
Click on icon against the absence to delete
System will not allow deleting absence if its currently in use or have been used in past. You may make the absence inactive if not in use.
